AI has become an essential part of everyday work in tech, and it’s not just our developers who use it. To see how it drives real results across teams, we asked our colleagues to share the tools that genuinely improve their daily workflows.
Let's dive in!
The biggest recent upgrade to my workflow has been the BMAD method, especially since I started using it end-to-end. It puts the development process "on track": it standardizes the stages, enables specialized roles, clears up the chaos between discovery and delivery, and allows for predictable results.
Second place goes to the desktop version of Codex. I used to use it as a CLI and as an extension for VS Code, but the desktop app provided a whole new level of control: the ability to comment on every line during a review and send a batch of feedback to an agent—and now it supports sub-agents.
Regarding automation: The R&D team developed an AI assistant for the sales team that independently identifies companies and selects the top 10 based on our relevant experience. The process involves a fairly complex pipeline: from formalizing our case experience (storing it in a vector database) to multidimensional scoring of potential leads.
In addition, I've built custom agents that structure incoming information and cut down manual analysis and note-taking.
— Taras Romaniv, Solutions Architect
I use Copilot to prepare weekly summaries: status updates across the entire team and brief release summaries. It also helps me quickly proofread long emails and spot errors, and sometimes even make small code fixes in services without having in-depth knowledge of .NET.
— Oleksandr Chubatyi, Project Manager
For me, the biggest impact has been OpenCode. Its integration with the tools I use daily made it easy to become familiar with.
It helped me analyze and get comfortable with new codebases with less friction. I now try to understand more than what's directly visible, with less trial and error.
I have explored OpenCLAW and Ralph loops, but haven't found any use for my needs. I am currently exploring agent swarm/orchestration. It's a better fit for my way of working and thinking, and I'm early in this experimentation. I think there is room for each approach, depending on the issue you need to solve.
— Albi Abdyli, Software Engineer
In recruitment, the main goal of AI is to save time for recruiters by handling routine tasks and helping automate the process. One of the best tools so far is the Bluedot AI notetaker. It allows recruiters to focus on screening calls with candidates and then receive AI-generated notes afterward. Recruiters can also add questions specific to a position and get structured notes about the candidate's experience at the end. Previously, it took quite a bit of time to make those notes manually.
I also plan to explore an AI CV analysis tool and an AI interview tool.
— Marta Kukhnii, Recruiter Lead
I use Claude and ChatGPT Business, along with Gemini and NotebookLM, for specific tasks.
ChatGPT and Claude help me quickly plan communications with clients, generate reasoning for negotiations, and plan delivery processes.
Gemini works as a handy assistant for working with Google Suite—inside spreadsheets and documents and significantly speeds up work with calculations and document drafting. Nano Banana helps generate slides, but they aren't always of adequate quality.
NotebookLM helps with work that requires analyzing a large number of documents and sources.
I recently set up a low-code workflow for preparing data for delivery unit reports using Google Workspace Studio, Gemini, and NotebookLM. This saves me quite a few hours.
— Christine Posmah, Delivery Manager
What stands out in these stories isn't just the tools themselves, but what our team actually does with them. At Softjourn, AI doesn't replace people; it gives them space to do what they do best. Solutions Architects build smarter systems. PMs think strategically instead of writing summaries by hand. Recruiters spend more time connecting with candidates.
By taking routine tasks off their plates, AI gives our team more space to solve complex problems, build innovative solutions, and nurture the human relationships that move our work forward.
